Licensing & Registrations Guide

This guide outlines the step-by-step process for Property Practitioners and firms regarding new registrations, re-registrations, amendments, status upgrades, and deregistration via the MyPPRA Agents Portal.

1. New Registration

This process is for individuals who have never been registered with the PPRA or for a new firm entity.

A. New Individual Property Practitioner

1. Create ProfileClick the link: New Property Practitioners – click here to register for your Fidelity Fund Certificate (FFC).The system issues a unique 7-digit reference number. Use this number for all payments.
2. Update InformationLog in as Existing Property Practitioners –
click here to login.
Update your addresses and other relevant information on the new profile.
3. Submit DocumentsUpload and submit the required documents on the Portal.Required Documents: ID (clear copy, both sides of Smart ID), PPRA Individual Application Form, and Letter Confirming Employment (signed by you and the principal).
4. Make PaymentPay the applicable fees (e.g., R2,295 FFC Admin fees) and upload the Proof of Payment.Proof of payment must be based on the current schedule of fees.
5 FinalisationThe PPRA has 30 working days to process a fully compliant application.Once finalised and payment is reconciled, your FFC will be available for viewing, downloading, and printing on the MyPPRA Agents Portal.
Non-Compliance Notes
If the application is non-compliant, the 30-working-day processing period will restart from the date a fully compliant resubmission is received.If a profile hasn’t been created, your application will be rejected; you must first create a profile via the MyPPRA Registration Portal.
B. New Firm/Entity Registration

1. Trading Name ReservationThe principal must reserve a firm name and/or preferred trading name within the industry. Use the screen to Reserve an agency name.If the name is identical or confusingly similar to a name already issued with an FFC, it may not be used.

2. Register New FirmApply to register the new Firm to receive the firm reference number (Only one registration is required per firm).The reference number should be used for the application on PPRA official records.
3. Submit Firm DocumentsAdd firm information on the Manage Agencies screen and upload all required electronic documents.Documents include: ID copies for all Directors, Business Registration Form, CK/CM Document, Tax Clearance Certificate, Bank letter confirming the opening of a Trust Account (or Exemption Application IRO Trust Monies), IRBA auditor letter, BBBEE Certificate/Affidavit, and Proof of Payment.

2. Amendment of Details & Status Upgrades

This process is used for existing practitioners to update their information or upgrade their status.

Amendment of DetailsUpdate information (Name, surname etc..) by logging in as an Existing Property Practitioner. Any changes will require an upload of the required document after the form is completed.The application must include the same compliant documents as a new registration (ID, application form, employment letter, proof of payment). Refer to the schedule of fees for the applicable FFC fee and/ or administrative fee.
Employment ChangeThe amendment is successfully updated on the PPRA system. A new FFC does not result from an amendment; the current FFC remains valid until the annual renewal cycle.The application must include the same compliant documents as a new registration (ID, application form, employment letter, proof of payment). Refer to the schedule of fees for the applicable FFC fee and/ or administrative fee.
Status Upgrades (e.g., Candidate to Full Status)This is treated as an application for a new FFC to accurately reflect your new status.The application must include the same compliant documents as a new registration (ID, application form, employment letter, proof of payment). Refer to the schedule of fees for the applicable FFC fee and/ or administrative fee.
Trade Name Change (Firm)Apply to amend the firm’s trade name registration.
This is done after the trade name reservation has been approved.

3. Re-registration

This is typically for practitioners who have been de-registered on the system or have been absent from the industry.

1. Check compliance with all requirements.To ensure your re-application is processed quickly, you must first resolve your standing with two key areasMany re-registration applications are found to be non-compliant because of outstanding requirements and accumulated penalties.
– Financial Compliance: Clear all outstanding arrears and penalties with the Finance Department.
– Educational Compliance: Confirm you meet all educational qualifications for your status
2. Resolve Blocks (Principals)Principals may have additional blocks for outstanding CPD (Continuing Professional Development) or Education Requirements.Contact the relevant departments (CPD, Education Compliance, Exemptions) to resolve the blocks before submitting the application.
3. Application ReviewSubmit a re-registration application.Individual applicants: Prescribed individual requirements

4. Deregistration of Details & Status Upgrades

A. Individual Deregistration
STEPACTIONNON-COMPLIANCE NOTE
1. Submit RequestSubmit a deregistration request via the MyPPRA Agents Portal.The deregistration letter must be dated and signed by the individual or submitted principal of the firm (unlink employment relationship).
2. FinalisationOnce finalized, you are officially deregistered as an estate agenYou must cease all activities related to the practice of a state agency. Future practice requires a new registration application.
B. Firm Deregistration
STEPACTIONREQUIRED DOCUMENTS (NON-COMPLAINT LIST)
1. Submit RequestThe principal submits the application for de-registration of the firm.Non-Compliant documents commonly include Letter from the bank confirming the closure date of all trust accounts; IT3b certificate(s) or bank letter confirming the interest earned on the trust account; and a Principal’s Affidavit confirming no other open trust accounts and that all trust creditors have been paid in full.
2. FinalisationOnce finalized, the firm is officially deregistered.The principal must advise all active employees to amend employment to a registered entity without delay to avoid the cancellation of employee FFCs.
Audit Disqualification Note
If a firm is disqualified due to outstanding audit reports, the deregistration request is referred to the Section 27 Department for assessment and levying of penalties.
